The Operations & Engagement Manager plays a critical role in the day-to-day operations of the Chamber and serves as an important point of connection between the Chamber, its members, and the community.

Reports To: President & CEO

Salary: $19–$21/hour

Employment Status: Non-Exempt

Location: Lake City, Florida

Overview

The Florida Gateway Chamber of Commerce is a 500+ member organization representing businesses throughout North Central Florida. The Chamber is dedicated to being the leader in providing advocacy, information, and services that promote business development and enhance economic prosperity throughout our community.

The Operations & Engagement Manager plays a critical role in the day-to-day operations of the Chamber and serves as an important point of connection between the Chamber, its members, and the community. This position combines office operations, member service, database management, event support, and community engagement to help ensure the Chamber delivers a professional, responsive, and valuable experience to its members and stakeholders.

The ideal candidate is organized, personable, proactive, and comfortable wearing many hats. This is a hands-on position for someone who enjoys working with people, solving problems, staying organized, and helping make things happen.

Key ResponsibilitiesChamber Operations & Administration

  • Manage and support the day-to-day operations of the Chamber office.
  • Serve as a primary point of contact for members, visitors, partners, and community stakeholders.
  • Answer, screen, and route incoming calls and respond to general inquiries professionally and promptly.
  • Manage incoming and outgoing mail, correspondence, and routine administrative communications.
  • Maintain a clean, organized, welcoming, and professional office environment.
  • Coordinate meeting room scheduling, setup, technology needs, materials, and hospitality.
  • Maintain office supplies and inventory and coordinate purchasing as needed.
  • Assist with administrative and financial processes, including processing payments, posting checks, managing bills, and maintaining accurate records.
  • Prepare reports and provide administrative support to the President & CEO and Chamber team as requested.

Member Engagement & Services

  • Build positive, professional relationships with Chamber members and community partners.
  • Serve as a knowledgeable resource regarding Chamber membership, programs, events, benefits, and services.
  • Maintain accurate and up-to-date member information within the Chamber's CRM/database.
  • Document member interactions, referrals, attendance, and other relevant engagement activity.
  • Assist with member benefits and services, including job postings, event listings, mailing lists, new member materials, certificates, and other member resources.
  • Help identify opportunities to increase member engagement, participation, and satisfaction.
  • Support membership retention and engagement initiatives led by Chamber leadership.
  • Assist with welcoming new members and helping them understand how to maximize their Chamber membership.

Events & Programs

  • Support the planning and execution of Chamber events, programs, meetings, and special initiatives.
  • Assist with event registration, communications, setup, teardown, guest check-in, logistics, and hospitality.
  • Help ensure events provide a professional, welcoming, and engaging experience for attendees.
  • Coordinate with Chamber staff, volunteers, sponsors, vendors, and community partners as needed.
  • Attend Chamber events, programs, meetings, and community functions as required.
  • Assist with post-event follow-up, including attendance tracking, member engagement, and other administrative needs.

Community & Relationship Engagement

  • Represent the Chamber in a professional and positive manner when interacting with members, businesses, community organizations, and the public.
  • Develop familiarity with local businesses, community organizations, and key community initiatives.
  • Participate in Chamber and community activities that strengthen relationships and increase the Chamber's visibility.
  • Assist with ribbon cuttings, business visits, member meetings, and other engagement opportunities.
  • Help connect Chamber members with resources, information, and one another when appropriate.

Team Support & Special Projects

  • Provide administrative and operational support to the Chamber team.
  • Work collaboratively with staff, volunteers, Board members, committees, and community partners.
  • Take ownership of assigned projects and responsibilities from planning through completion.
  • Identify operational challenges and proactively recommend solutions.
  • Assist with special projects and initiatives that advance the Chamber's strategic priorities.
  • Perform other duties as assigned by the President & CEO.

Qualifications

  • High school diploma or equivalent required.
  • Experience in customer service, office administration, nonprofit organizations, business operations, or a related field preferred.
  • Strong organizational and time-management skills.
  • Professional, outgoing, and positive demeanor.
  • Strong interpersonal and communication skills.
  • Ability to work independently and take initiative while also functioning effectively as part of a team.
  • Ability to manage multiple responsibilities and meet deadlines.
  • Strong computer and administrative skills.
  • Ability to learn and effectively use CRM/database and other technology systems.
  • Willingness to actively participate in Chamber events and community engagement opportunities.

Work Environment & Expectations

  • Primarily office-based with frequent interaction with Chamber members, visitors, and community stakeholders.
  • Regular business hours are Monday through Friday, 9:00 a.m. to 4:00 p.m.
  • Flexibility is required for occasional Chamber events, meetings, and community functions that may occur outside regular business hours.
  • Occasional lifting, carrying, and movement of event materials, equipment, and office supplies may be required.
  • Local travel may occasionally be required for Chamber events, meetings, member visits, and community engagement activities.
  • The position requires a high level of professionalism, reliability, responsiveness, and commitment to exceptional member service.
