We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks
We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks. Looking for a go-getter who will “own” this position and who has outstanding service, attitude, and dedication.
Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Office and office equipment. If you have previous experience as an administrative assistant and familiarity within our industry, we’d like to meet you. Ultimately, a successful Admin Assistant should ensure the efficient and smooth day-to-day operation of our office.
Responsibilities
- Effectively manage a multi-line phone. Answer and direct phone calls
- Create work orders, update customer records in our system
- Organize and schedule appointments.
- Manage open work orders to insure updated status.
- Write and distribute email, correspondence memos, letters, faxes and forms
- Assist in the preparation of regularly scheduled reports
- Maintain a filing system
- Maintain office policies and procedures
- Maintain contact lists
- Provide general support to visitors
- Act as the point of contact for internal and external clients
Experience & Requirements
- Minimum 3 years experience
- Must have a high level of integrity and be trustworthy
- Must be dependable with good attendance and punctuality
Skills
- Proven experience as an administrative assistant or office admin assistant
- Knowledge of office management systems and procedures
- Proficiency in MS Office
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- Adept at getting along well with all personality styles – extremely versatile
- Great speaking and writing skills
- Able to create new letters and documents
- Able to review and edit existing letters and contracts
- Self-motivated with problem-solving skills
- Able to work independently with minimal supervision
